Pipedrive vs HubSpot for a five-person service business
Pipedrive Growth is a sensible first trial candidate if five people need a shared sales pipeline, email sync and automated follow-ups. HubSpot deserves a closer look if your team needs its wider set of sales tools and integrations with other HubSpot products. The entry prices alone do not settle that choice: the features you require may put you on a different plan.
This comparison uses the vendors’ published pricing and feature descriptions. We have not completed hands-on tests of either product and do not score usability, reliability or support quality. There are no affiliate links in this article.
Define the team before comparing the price
Our example has five users who all need to work on customer enquiries. They want to record contacts, assign the next action and keep a shared view of opportunities. Email sync and follow-up sequences are separate requirements to check.
Five employees do not always mean five identical paid seats. Before buying, identify who needs editing, sales tools, administration or only reporting. The calculations below assume five seats at the displayed per-seat rate; they are planning arithmetic, not a vendor quote.
Pipedrive: annual commitment versus monthly billing
The official English-language pricing page displayed USD prices and four plans:

The annual price is an equivalent monthly rate with an annual payment. It is not an offer to pay $14 or $24 each month without the annual commitment. Prices exclude VAT; applicable taxes depend on the buyer.
For five Growth seats, annual billing is $1440 versus $2040 across twelve monthly invoices: a $600 difference if rates remain unchanged. Annual payment also commits more cash before you have observed a full year of use.
Pipedrive describes Lite as covering lead, calendar and pipeline management. Growth adds full email sync with tracking, automations and nurturing sequences, a meeting scheduler and forecasting. Premium lists lead generation and routing, contracts/e-signatures and more advanced customisation. These are published features, not evidence that a particular workflow passed our test.
Start a trial with the least expensive plan that covers your written requirements. The site offers a 14-day trial without a credit card; check the intended paid plan’s limits before concluding that everything available in the trial is included in your chosen subscription.
HubSpot: separate introductory pricing from the budget
The official Sales Hub page displayed:
- Free tools for up to two users.
- Starter from $7 per seat/month with annual payment, or $10 with monthly commitment, alongside a $20 reference price.
- Professional from $90 per seat/month paid annually, or $100 paid monthly with an annual commitment.
- Required one-time Professional onboarding of $1500.
- Enterprise from $150 per seat/month plus required $3500 onboarding.
The duration, eligibility and renewal price of the Starter discount were not established in this check. Do not treat the $7 headline as a permanent cost or the $20 reference price as a confirmed renewal quote. Obtain the actual checkout or written quote before committing.
For five Professional seats, assuming all five are charged at the displayed annual rate, the subscription arithmetic is $90 × 5 × 12 = $5400. Adding the stated onboarding gives $6900 for the first year, before taxes and other paid features. Paying $100 per seat monthly under the displayed annual commitment gives $6000 in subscription payments plus $1500 onboarding, or $7500 in the first year. Confirm seat requirements and final quote.
Monthly payment and monthly cancellation rights are different things. HubSpot’s Professional monthly-payment option explicitly says “Commit annually”.
These totals do not establish that Professional is necessary for every five-person team. HubSpot lists Sequences, forecasting and conversation intelligence under Professional. Check exactly which automation your team needs; a basic CRM workflow may not require those features.
A practical shortlist

Pipedrive Growth and HubSpot Professional are not identical products. Comparing their totals shows the budget difference for two candidates; it does not prove that they deliver the same capabilities.
Budget for your team
Change the seat count and add costs from your own estimates. Compare the first 12 months of annual payment with monthly payments for the same plan.
Enter a whole number of seats from 1 to 1,000 and non-negative extra costs up to $1,000,000, with at most two decimal places.
Costs missing from the headline
Allow for migration time, training, integrations, taxes, currency conversion and ongoing administration. Pipedrive lists separate products such as Campaigns; a sales email sequence is not automatically a full marketing-newsletter service. HubSpot includes credits for some capabilities, and additional usage may affect the budget. Check the actual features you plan to run.
Avoid adding every optional tool “just in case”. Price the workflow you need now and a plausible next stage, then record which upgrade would be triggered by growth.
A trial you can reproduce
Create ten fictional contacts and three opportunities. In each product:
- Import the same records and check duplicate handling.
- Assign an owner, next action and date.
- Connect only a test inbox you control, if needed.
- Set a follow-up and verify that its behaviour matches the plan you would buy.
- Find the history as another authorised test user, where the trial permits it.
- Export the data and inspect which fields are preserved.
Record the plan, date, limitations and time spent. Do not upload a real client database just to try a tool. We will only label results as tested after carrying out and documenting these steps.
Where this leaves the choice
For the stated five-person scenario with email sync and follow-ups, start by evaluating Pipedrive Growth at the published $1440 annual subscription budget. Put HubSpot on the same shortlist when its specific capabilities or existing use across your business justify the extra scope. A small team with simpler needs should also examine Free or Starter rather than jump directly to Professional.
The final decision should follow the same workflow test and a current quote. A larger feature list, a discount or an affiliate commission is not evidence that a product fits your business.
